English Speaking Practice for Software Teams

Technical knowledge is only part of international software work. This guide turns recurring team situations into short speaking drills you can rehearse before the real meeting.

Practice loop: speak once for meaning, review one weakness, then repeat the same task more clearly. Do not restart for every small error.

Four High-Value Scenarios

Give a useful stand-up update

Explain what changed, what you will do next, and one blocker in 45 seconds. Repeat once with fewer details and a clearer request.

Useful language: Yesterday I… / Today I’m focusing on… / I’m blocked by… / I need input from…

Explain a technical trade-off

Compare two approaches for a non-specialist. State the constraint, recommend one option, and explain the main downside without unnecessary jargon.

Useful language: The main trade-off is… / Given the deadline, I recommend… / The downside is…

Disagree in a code or design review

Challenge an idea without challenging the person. Ask one diagnostic question, describe the risk, and propose a testable alternative.

Useful language: Could we check one assumption? / My concern is… / What if we tried…?

Communicate during an incident

Give a calm update with confirmed facts, unknowns, current action, owner, and next update time. Do not guess at causes you have not verified.

Useful language: What we know is… / We’re still investigating… / The next update will be…

A Seven-Day Speaking Plan

Day 1: Record a 45-second stand-up update.

Day 2: Explain one system component to a new colleague.

Day 3: Compare two implementation options and recommend one.

Day 4: Practice asking for clarification in a technical meeting.

Day 5: Role-play a respectful code-review disagreement.

Day 6: Deliver a two-minute incident update with only confirmed facts.

Day 7: Repeat the two weakest drills and compare the recordings.

Self-Review Checklist

Listen to the recording once for the message and once for delivery. Use these questions instead of trying to correct everything at once:

Did I lead with the decision, status, or request?

Did I separate facts from assumptions?

Could a non-specialist follow my explanation?

Did I use a specific owner and next step?
